1. What do we use your personal information for

 

We use your personal information to identify you as a customer, to process your tour booking, to entitle your train passes in Japan (these tickets must bear the holder's name and passport number to be valid) and to book your accommodation. 

 

Your personal information and any records relating to your journey will also be retained for audit functions as long as is it legally required. Then, we safely destroy it.

 

2. HOW WE SAFEGUARD YOUR PRIVACY

We do not use your personal information to send unsolicited advertising (spam).

 

Unless strictly necessary to deliver the tours and serviced you contract with us, we do not transfer your information to third parties under any circumstance without your written consent.

 

We do not process or store any analytic data from your browser and internet activity.

 

The company will never upload or use any pictures of you in any way without your written consent.

7. BOOKING CONDITIONS

 

a) Group size is between 6 to 8 travelers.

b) Customers are required to pay upfront 8 weeks before travel.

c) Price shown is per person and based on double room occupancy.

d) Once booking is confirmed the booking fee is non-refundable and no amendments can be made due to external booking conditions.

e) The customer is responsible for the custody of the transportation tickets provided by the tour guide. In case of loss, the traveler shall cover the costs of the journeys corresponding to the distances the ticket was valid for.

f) Occasionally selected hotels may not be available on travel dates at the time of booking. You will be notified if this is the case and alternate nearby accommodation will be provided with equal facilities.

g) We can not guarantee the functionality of the wifi connection supplied by the internet provider during the tour. Therefore we are not responsible for any malfunction of the connection. 

 

 

8. ALTERATIONS OR CANCELLATION BY YOU

 

(a) Alteration: No further amendments or alterations may be done once the booking has been confirmed.

 

(b) Cancellation: You or any member of your party may cancel your booking at any time providing that the cancellation is made by the person making the booking and is communicated to us in writing. Refund fees detailed below in paragraph (c) will apply and are based on the day the written cancellation is received and whether documents have been issued (e.g. Japan Rail Pass).

 

(c) Payment and Cancellation charges

Booking: Booking a tour implies the payment of a 30% of the tour fee. This is a non-refundable payment that secures the availability of the tour.

Tour fee: Tour fees must be paid for in full at least 8 weeks before the scheduled date of departure. If tour fees are not paid in full by balance due date, the Consumer's tour shall be subject to cancellation for Non-Payment.

Cancellation or Cancellation for Non-Payment. If tour fees are not paid for by the due date, Lonely Ronin Travel shall have the right to cancel the service for non-payment. In that case, or if the Consumer decides to cancel, the booking fee is set as cancellation charge.

 

Refundable fees excluding booking fee

-        More than 8 weeks before the departure date:  100% of the tour fee paid less booking fee.

-        Within 6-8 weeks of departure: 75% of the tour fee paid less booking fee.

-        Within 4-6 weeks: 50% of the tour fee paid less booking fee.

-        Within 4 weeks of departure: No refund payable.

 

 

8. Cancellation by the Company

In the unlikely event that a booking has to be cancelled by Lonely Ronin Travel before departure date for any reason other than "force majeure", a full and prompt refund will be made of all amounts paid to the Company.

 

"Force Majeure" includes war, threat of war, riot, civil disobedience or strife, industrial dispute, terrorist activity, natural or industrial disaster, fire, adverse weather conditions, level of water in rivers, technical or maintenance problems with transfer, unforeseen operational decisions of air carriers such as changes of schedule, or any unforeseeable or unavoidable event beyond the Company's control.

 

No compensation is payable in any case.

 

9. BEHAVIOUR

 

Disruptive travelers

It is your responsibility to ensure that you and the members of your party do not behave in a way which causes offence or danger to others or which risks damage to property belonging to others. In such circumstances all suppliers (e.g. hotel managers, airline pilots) and Lonely Ronin Travel LTD have the right to terminate arrangements made on your behalf, in which case our responsibility to you ceases immediately and there can be no refunds, no payment of compensation and no reimbursement of any cost or expenses you may incur as a result. Further, you will be liable to reimburse the Company for any expenses whatsoever it incurs as a result of your behavior.
